PGA Class A Professional Golf Event Manager Job Description

ChariTee Consulting, LLC, doing business as, Orange County Golf Events and O.C. Golf Events [“OCGE”] is the quintessential provider of corporate and charity golf events with operations primarily based out of beautiful Orange County, California. Founded in 2015, O.C. Guided by the leadership of Joe Sperazza, Jr., a seasoned frontrunner in the golf event industry, OCGE is looking to expand and hire a PGA Class A Professional Golf Event Manager to boost operations in line with recent growth.


Overview & Scope of Position

The PGA Class A Professional Golf Event Manager [“Golf Event Manager”] will work directly with the President of O.C. Golf Events to provide day-to-day general direction and management of all golf activities and personnel associated with golf operations to ensure the goals, mission, and vision of O.C. Golf Events can be fulfilled. The Golf Manager is responsible for continually developing and implementing all service standards through proper operational practices, management of key staff members, and exceeding sales directives. This person is also responsible for maximizing revenues in all aspects of the golf operation while working within an outlined budget. As a member of the OCGE Operations Team, the Golf Manager will assist the President of O.C. Golf Events with golf tournament management and logistics, corporate outings, merchandising, on-course activations, private events, team training, company development, and sales initiatives.

Supervision: The Golf Manager reports directly to the President of O.C. Golf Events


Key Responsibilities & Duties of Position 


OPERATIONS: 

  • Initially assists President of O.C. Golf Events with planning, promoting, directing all golf activities; eventually spearheads implementation of O.C. Golf Event projects and directives from start to finish, including heavy coordination with Operations and Marketing Departments, as well as participation in client meetings and pre-event work.

  • Golf activities include tournaments, scoring / live scoring, contests, awards, golfer gifts, pairings, rules, formats, hiring / managing golf pros for contests, billing, promotions, contest insurance, follow up, and more to be outlined below.

  • Manages pre-event communication with confirmed on-course supporters including preliminary event disclosures (arrival times, tee box assignments, load-in instructions, etc.), event reminders, text/phone communication on the morning of the event

  • Works directly with President of O.C. Golf Events tracking expenses and revenue, especially data pertaining to Golf Event Manager implemented projects

  • Regulates monthly expenses related to Golf Event Manager budget, minimizes expenses continuously focusing on increasing net revenue

  • Responsible for day-of-event ROS, event timelines, day-of-event floorplans / guest flow

  • Coordinates closely with various Golf Course Superintendents to communicate tournaments and events, course conditions, and maintenance schedules related to golf activities associated with O.C. Golf Events business

  • Supports current and potential clients by providing and interpreting golf policies, rules, and regulations specific to events and/or projects contracted to OCGE

  • Performs starter or marshal duties during O.C. Golf tournaments or events in absence of venue-employed course marshal and/or event coordinator

  • Verifies proper course setup, contests including hole-in-one yardages, markers, and supplies; provides volunteers and/or Golf Pros with instructions detailing contest(s); verifies that all contest markers and supplies are collected post-event, results are reported to golf venue, Golf Pro, and client

  • Proactive in developing innovative ideas to facilitate continual delivery of exceptional service and profit contributions to O.C. Golf Events

  • Ensures an excellent client, vendor, and sponsor experience by being responsive, following up promptly, and following through on commitments

  • Occasionally assists with golfer check-in, familiarity with check-in / registration process

  • Directs tournament and event day of load-in and load-out procedures and/or guides Event Coordinator’s efforts

  • Responsible for reserving utility vehicle(s) (U-Haul or similar) to accommodate large supply and equipment deliveries i.e., signage, merchandise, activation items, etc. Responsible for vehicle pick-up and return; oversees safe load-in and load-out of items and leads collection of remaining items following event, returns inventory to proper locations (i.e., client offices, OCGE storage, or other location as required)

  • Coordinates with Marketing Department on signage inventory for contracted events and services – collects signage, ensures signs are properly marked and organized, directs event staff on placement specifications. Responsible for guaranteeing staff / volunteers collect all signage following event, conducts course “sweep” to ensure no signage / inventory left behind. Cross-checks inventory report to ensure signage accounted for. Coordinates with Marketing Department on instructions for returning signage and directs process accordingly

  • Focuses on golf cart rental needs – ensures enough carts, including utility (flatbed) carts, passenger shuttle carts, and regular golf carts, are available for OCGE contracted events

  • Responsible for contest card sales – including coordinating with Marketing Department on design specifications, presenting the draft / design to client, managing order / quantities, creating sales script, training volunteers and/or Golf Pros on sales tactics and procedures (including additional sales opportunities – i.e., on-course or post-tournament), overseeing day- of-event sales, tracking and ensuring that client’s minimum sale objectives are achieved.

  • Performs other appropriate tasks assigned by the President of O.C. Golf Events, or in coordination with the Operations and/or Marketing Teams


MERCHANDISE & VENDORS: 

  • Orders supplies associated with golf operations within allocated budget

  • Maintains grasp on inventory control and storage of hard goods, special orders, marketing displays, overall sales items, and refines ordering procedures and shipment receiving procedures

  • Manages, organizes, and makes recommendations to President of O.C. Golf for merchandise appropriate to tournament objectives, contests, prizes, etc. Eventually leads merchandising efforts

  • Creates ask letters (vendor, sponsors, non-profits, etc.), tracks/documents all solicitations

  • Coordinates with on-course vendors and sponsors regarding setup requirements, requests, equipment and supply / ice needs (when applicable); Organizes vendor requests and specifications – incorporates details into event grid(s) for client, course, and OCGE

  • Initiates and oversees the ordering of caddie bibs including initiation of design process, obtaining client approval, purchasing, order / expense reporting, inventory management (pre and post-event), bib distribution / collection

  • Assembles and implements awards plan – includes procuring items within specified budget and outlining allocation for team awards and tournament contests. Awards / prizes include golf merchandise, apparel, gift certificates, placards, trophies, etc. Golf Event Manager shall review the awards plan with the President of O.C. Golf Events and client for approval, modify as needed; ensures that golf venue receives copy prior to event date (no less than 48-hours)

  • Manages golfer gift shopping experience – secures gift options and confirms offerings are within client’s allocated budget; presents gift options to client; coordinates on order fulfillment, establishes inventory reports; assembles gifts and confirms with client on golfer gift presentation


STAFFING: 

  • Makes recommendations to Human Resources for hiring support staff

  • Publishes schedules for O.C. Golf Events Operations staff with project labor costs maintained, eliminating overtime; ensures support staff members are breaking for meals and rest periods per California law

  • Verifies all event staff are utilizing OCGE timeclock software, OnTheClock

  • Manages, trains, guides, enhances, and motivates operational support staff to provide consistently outstanding service levels; follows prescribed orientation process from Human Resources Department

  • Administers and enforces all rules, regulations, policies, and procedures as required by OCGE related to applicable staff positions; protects safe working environment to include compliance with OSHA and O.C. Golf standard operating procedures; trains staff in the proper and safe use of all equipment

  • Administers day-of-event staff agreements and collects support team signed agreements; immediately scans / uploads documents to appropriate shared folder in OneDrive

  • Oversees OCGE Golf Pros – includes schedule coordination, contract employment agreements, detail sheets, responsibilities, overseeing Golf Pro performance at all events, and managing post-event invoicing for services rendered, contest operations, script details, contest card sale objectives, payment collection / processing procedures and other responsibilities required of the Golf Pros during the event

  • Reports unsafe conditions to President of O.C. Golf Events and Human Resources Department

  • Reviews support staff member timesheets via OnTheClock before payroll submission for consistency regarding reported arrival, departure, break times; addresses any discrepancies with team members to confirm accuracy

  • Performs evaluations yearly for all staff under direct management

  • Fosters a team environment focused on excellence

  • Understands and values personal growth and development, as well as formulates strategies for growth and development of team members

  • Leads by example; establishes and embodies the benchmark of performance for OCGE in the areas of motivation, sense of ownership, and dedication to quality service

  • Preserves open lines of communication between support staff and golf executive staff, works together to facilitate projects and events
     

WORK ENVIRONMENT


The Golf Event Manager will be required to work both remotely and on-site. Remote work consists of utilizing internet access to accomplish company objectives and tasks related to the Golf Event Manager position. On-site work involves the Golf Event Manager’s presence at golf courses or event venues with indoor and outdoor settings, inclement weather may be a factor. Some travel may be required; a company vehicle will be provided from time to time when available under the discretion of the President of O.C. Golf. Operations are predominantly based in Orange County. On-site can also be defined to include work in an office setting, both single and/or multi-floor properties with stairs, elevator / escalator access may or may not be available.
 

While performing the duties of this job, the Golf Event Manager is regularly required to talk, hear and move about freely on a golf course, in a multi-floor building, and during remote work sessions.
 

The Golf Event Manager is frequently required to visually observe the condition of their surroundings. This individual may be routinely required to bend, stoop, stand, walk, carry and lift objects weighing 60 pounds or less. The Golf Event Manager may be required to “team lift” objects up to 119 pounds with two or more people participating.
 

The Golf Event Manager is expected to safely operate a golf cart, possess a reliable vehicle for traveling to and from work/project sites with a valid driver’s license and auto insurance, as well as possess a smartphone for use during work hours. The Golf Event Manager will also be required to have a working, reliable laptop to complete necessary functions of the role.
 

EXPERIENCE REQUIRED


MINIMUM QUALIFICATIONS:

  • Candidates must be Class “A” PGA of America Member in good standing

  • Minimum of five (5) years golf operations management experience at public and/or private club, or minimum five (5) year’s experience in related golf industry position considered

  • Bachelor’s Degree in a related field required

  • Fundamental knowledge of the game of golf, rules of golf, golf operations, golf events, and tournament operations

  • Valid email address where documents with attachments can be received

  • Valid Driver’s License and current auto insurance

BENEFITS


The PGA Class A Professional Golf Manager will be compensated with a salary based on experience beginning at $60,000 per annum, with opportunities for performance bonuses up to $20,000, and commission bonuses up to $20,000, with profit share awarded at 1-5% of net revenue concluding each fiscal year.
 

The OCGE full-time Golf Manager is also applicable for Medical, Dental, and Vision Insurance after ninety days of consecutive employment.
